MB-900 Microsoft Dynamics 365 Fundamentals – Licensing

Licensing always seems to find itself into exams and the fundamentals exam in no different. Microsoft Licensing is hard and complex. As for other exam topics, there are differences between Customer Engagement and Operation that are spelt out below.

App and Plan Licenses

There are several ways you can license Dynamics 365:

  • App
    • Any individual app
  • Customer Engagement Plan
    • All Customer Engagement Apps
      • Dynamics 365 for Sales
      • Dynamics 365 for Customer Service
      • Dynamics 365 for Field Service
      • Dynamics 365 for Project Service Automation
    • plus
      • Dynamics 365 for Marketing
      • Microsoft PowerApps Plan 2
  • Unified Operations Plan
    • Finance & Operations
    • Retail
    • Talent
    • plus
      • Microsoft PowerApps Plan 2

  • Dynamics 365 Plan
    • Customer Engagement Plan
    • Unified Operations Plan

There are then a number of Add-Ons and Offers:

  • Microsoft Relationship Sales Solution
  • Dynamics 365 for Marketing
  • Dynamics 365 for Marketing Additional Contacts
  • AI for Sales
  • Customer Insights
  • Remote Assist
  • Layout
  • Talent: Attract
  • Talent: Onboard

User  licenses for Marketing are free but you need to have a number of plan licenses to qualify, if not you can purchase Marketing as an Add-On.

User vs Device Licences

Normally users are licenses on a named user basis but you can also buy device licenses. With a Device license, multiple users can log on to the same shared device but they are restricted to just that device.

In Customer Engagement, there is no different in use rights between Named User and Device and the Device license is a full license however, the Operations Device license is limited to a subset of retail and warehouse functionality.

Additional Users

Team Member has been popular license and was aimed at light touch users but again there are difference between Customer Engagement and Operations. There are no plan licenses for Team.

Team Member license for Customer Engagement Team Member is limited to:

  • Create, view, update, and delete contacts, activities, tasks, and notes [Note not accounts]
  • In PSA, record time and expenses and apply for projects
  • Update personal employee information
  • User reporting and dashboards
  • Only 15 custom entities (per App)

Team Member  for Operations is limited to:

  • Record time and expenses
  • Approval of time and expense
  • Manage personal employee information
  • Manage direct employee and candidate activities for hiring, onboarding, and human resources
  • Create requisitions
  • Create or edit the items related to quality control and departmental budgets
  • Approval of invoices

Operations has an Activity license, not available for Customer Engagement, which is a a named user license which sits somewhere between a full user and a team member license. The Operations Activity license has the same rights as an Operations Team Member license plus:

  • Approval of Activity related transactions
  • Creating and editing items for warehousing, receiving, shipping, orders, vendor maintenance, and budgets
  • Operation of  Point-of-Sale (POS) devices, store manager devices, shop floor devices, or warehouse devices

Business Central

Dynamics 365 Business Central has the following license options.

Dynamics 365 Business Central Essentials has full access to:

  • Financial Management
  • Customer Relationship Management
  • Project Management
  • Supply Chain Management
  • Human Resources Management
  • Warehouse Management

Dynamics 365 Business Central Premium is everything in Essentials plus:

  • Service Management
  • Manufacturing

Business Central has a Team Members license that permits a named user to:

  • Read everything
  • Update existing data and entries
  • Approval of tasks in workflows assigned to a user
  • Creating and editing quotes
  • Updating personal employee information
  • Recording time against jobs
